Our Clinic Policies

Herbal Formulas and Pricing
The fees listed on our website are for consultation and herbal formula design and do not include the cost of herbs.

Herbal formulas are billed separately at ~$20–$35+ per 1–2 week supply, depending on the formulas prescribed.

Standard shipping rates apply to herb orders. Local pickups during business hours are available at no cost and can be scheduled through our online booking link found here. If curbside pickup is required for those who are unable to access our second floor clinic, please note this in the comment section upon booking.
Cancellation policy
We require 48 hours notice for any cancellations or changes to your appointment. Your appointment time is set aside specifically to support your care, and when an appointment is missed or cancelled late, it limits our ability to offer that time to another patient who may also need support.

Patients who provide less than 48 hours notice, or miss their appointment, will be charged the full appointment fee.

If you are sick and have scheduled an in-person visit, we will reschedule your appointment as a telehealth visit at noadditional cost. Please contact our clinic to arrange this accommodation.
telehealth visits
Telehealth appointments are available only for patients located in California. You must be physically located within the state of California during your scheduled virtual appointment. If you are outside California, we cannot provide telehealth services.
In-Person Visits
Stair Access Only
Our clinic is located on the second floor and is accessible by stairs only. Patients who cannot use stairs should schedule a telehealth appointment, as we are unable to provide alternative in-person access. Please call or email us if you need assistance switching your appointment to Telehealth.

Sick Patient Policy
Patients with active upper respiratory infection symptoms—including cough, sore throat, congestion, runny nose, or sneezing—may not attend in-person appointments at this clinic. If you have these symptoms and have scheduled an in-person visit, we will reschedule your appointment as a telehealth visit at no additional cost. Please contact our clinic to arrange this accommodation.
Insurance
We are not in-network with any insurance provider nor do we submit for out-of-network claims, therefore we cannot submit medical claims on your behalf nor assist you with claim resolution.

Upon request we will provide a super bill that you can submit for reimbursement directly from your insurance provider, but we cannot guarantee any or all of our diagnosis and/or treatment codes are covered under your plan.
HSA/FSA
We accept all major HSA/FSA plans. To use your HSA/FSA you can use it as the card-on-file through our Tebra patient portal or present it during your initial appointment.
Notice of privacy practices
With The Seasons LLC maintains your medical information in accordance with the Health Insurance Portability and Accountability Act (HIPAA) and California privacy law. We collect, use, and disclose your health information to provide treatment, process payments, conduct our operations, and as otherwise permitted by law. We safeguard your information using encryption, access controls, and other security measures. You have rights to access, amend, and restrict how your information is shared.
